Why this template

Never roll camera at a location without a signed release.

A location release is the document that says, on paper, that the property owner has granted the production the right to be on the property — to film, to bring crew, and to use the resulting footage. Without it, a property owner can ask for the footage to be removed from the film at any point. That conversation will not go well.

This template covers the standard cases: grant of access, filming dates, restoration to original condition, indemnity for damage, and payment terms. Adapt it for a daily hold, a weekly hold, or a rolling agreement.

Detail of the location release agreement

What's inside

Grant of access, filming rights, restoration, indemnity.

The clauses that protect the production and the property owner — and the clauses a distributor will check before clearing the film for release.

  • Grant of access

Clear authorization to enter and use the property for filming, crew, and equipment.

  • Filming dates and duration

Specific dates of use, including prep, shoot, and wrap windows.

  • Image and property release

Rights to use the property's exterior, interior, and identifying features in the film.

  • Payment terms

Editable rate fields for daily, weekly, or flat-fee deals.

  • Restoration clause

Production's responsibility to return the property to its original condition.

  • Indemnity

Mutual indemnity language so neither party is on the hook for the other's negligence.

On-set practice

Photograph the location before you bring in the crew.

Walk the location with the locations manager and the property owner before the trucks roll up. Photograph every room, every wall, every surface that could conceivably be marked. Have the owner sign off on the photos as the pre-production state.

When the shoot wraps, walk the location again. Compare the photos. Restore any difference. The location release is the legal document; the photo log is the evidence that you complied with it.
